Reports
Report templates, sections, schedules, share links, plan and role limits, and the weekly digest email.
Reports builds a report from a domain's AI visibility data that you can send to stakeholders on demand or on a schedule. Open it from the dashboard sidebar under Utilities > Reports. For a step-by-step walkthrough, see Export Reports.
The three tabs
- My reports - your saved reports and schedules, with each schedule's cadence, recipients, and last run. From here you can open a report or save it as a PDF. The Active share links table lists every public share link for the domain, with its view count and expiry, and lets you revoke one.
- Templates - starting points that fill in the Builder. Every field stays editable after you pick one.
- Builder - where you create or edit a report, with a live preview that updates as you change the form.
Templates
| Template | What it covers | Plan |
|---|---|---|
| Weekly stakeholder summary | KPIs, prompt movement, and top opportunities | Starter and up |
| Single-domain visibility | One domain, every AI platform, a 30-day window | Starter and up |
| Monthly executive review | Headline KPIs and the executive brief | Professional and up |
| Quarterly competitive analysis | Head-to-head against your tracked competitors, source overlap, gap changes | Professional and up |
| Content opportunity report | Open opportunities and suggested target pages | Professional and up |
| Stakeholder performance recap | All standard sections: visibility, coverage, competitors, wins | Professional and up |
Templates above your plan show as locked previews.
Builder fields
- Identity - the report name and description.
- Audience - a preset that picks a default set of sections. Executive starts with KPI Summary and Executive Brief; Growth and Stakeholder start with every section except the three impact sections.
- Sections - which sections appear (see below).
- Scope - the date range (last 7, 30, or 90 days, or a custom range on Professional and Agency), the country, and the AI platforms included.
- Recipients - who receives scheduled deliveries.
- Schedule - how often the report is sent (see Schedules).
- Format - applies to scheduled deliveries. Email sends each recipient a summary of the headline numbers with a link to the report in the dashboard; PDF keeps a copy in My reports. At least one must stay selected.
Generate now saves a copy of the report, frozen at that moment, to My reports without emailing anyone. Save schedule starts deliveries on the cadence you set. Save draft keeps an unfinished report for later.
Report figures come from the same data the dashboard shows. See Measurement Scope for how they are composed.

| Top Prompts | The prompts with the most opportunity |
| Recommended Actions | Site-wide changes that can improve your AI visibility |
| Suggested Prompts | Prompts Suggested by AI for you to track |

The three impact sections are off in every audience preset. Turn them on when your workspace uses Community Engagement, Publisher Outreach, or Content Operations.
Schedules
- Send once - sends the report the next time its delivery hour comes round.
- Weekly - on the weekday you choose.
- Monthly - on the day of the month you choose. A schedule set to day 31 sends on the last day of shorter months.
- Quarterly - on the chosen day in January, April, July, and October, with the same rule for day 31.
Every schedule sends at the hour you pick, in the timezone you pick.
A schedule sends as the teammate who set it up. If that teammate loses access to the brand, or their role no longer lets them manage reports, the schedule pauses instead of sending. My reports shows it as Paused with the reason, and everyone who can manage reports for the brand, plus the teammate who set it up, gets a notice in the bell. A teammate who can manage reports takes the schedule over by editing it and turning it back on.
Sharing
Create a share link from the Builder's live preview; the link is copied to your clipboard. A share link opens a read-only report page that anyone with the link can view, without an account. Share links show the domain's current data each time they are opened, not a frozen copy, and count views. A domain can have up to 50 active share links. Revoke a link from the Active share links table to disable it.
Plans and roles
| Starter (and trial) | Professional | Agency | |
|---|---|---|---|
| Reports page | Yes | Yes | Yes |
| Schedule cadence | Weekly only | Send once, Weekly, Monthly, Quarterly | Send once, Weekly, Monthly, Quarterly |
| Custom date range | No | Yes | Yes |
| Recipients per schedule | 3 | 10 | 25 |
| Public share links | No | Yes | Yes |
| White-label PDF, share page, and report emails (no SurfacedBy branding) | No | No | Yes |
A schedule saved on a higher plan keeps its settings after a plan change, and each delivery follows the plan the workspace is on when it sends. A schedule whose cadence, date range, or recipient list is beyond the current plan skips its deliveries, and My reports shows the reason; edit the schedule to fit the plan, or upgrade, and it resumes. Without a plan that includes reports, schedules stop sending and resume unchanged once the workspace is back on one.
Creating, scheduling, and sharing reports requires the Editor role or higher; viewers can read them.
Reports in the API and webhooks
On Professional and Agency, the Data API lists the reports generated for a domain with their metadata; see the Reports API. The API does not generate reports or return report files. To be notified when a report is generated, subscribe a webhook endpoint to the report.ready event.
Weekly digest
Separately from Reports, every workspace member receives one weekly digest email every Monday morning (UTC). It covers the domains they can open in every workspace they belong to that is on a paid plan or active trial, grouped by workspace, so someone in three workspaces gets one email, not three. It summarizes each domain's latest results, read from the same data the dashboard shows, and links back to the dashboard. A workspace appears in a member's digest only when one of the domains they can open completed a check since the previous digest. A domain that has never finished a check reads "Awaiting first check" rather than a zero.
Turn the digest on or off in Settings > Notifications with the Weekly digest toggle. The Email notifications toggle must also be on. Every digest also carries a one-click unsubscribe and a link to an email preference page that works without signing in.
